Get started with work

In UpServe, work is a service you keep using, such as managing bookings or running ads. Each piece of work has an AI team that takes care of it. On the screens, each single thing you hand over inside that work shows up as a task.

On this page, “work” means a service you keep using. On the older screens, “task” meant one thing you handed over. The new screens use “work” for the service you keep using, and each single thing you hand over inside it is shown as a task.

How you start

There are four steps.

  1. Say what you need. Write what you want handed over on Home.
  2. Prepare the material and connections. Your assigned AI asks only for what it really needs.
  3. Check the first result.
  4. Keep handing over the same work. The next job goes to the same work.

1. Say what you need

Home has a box titled “What should we take on?”

  • Just type it. One line such as “Sort my scattered bookings by date” is enough.
  • Under the box, pick the closest category (Bookings & schedules, Customer messages, Orders & payments, Documents & reports, Research, Stock & ordering) to see examples. Tap an example to fill the box. You can edit it before sending.
  • You can also choose the Result you want (Up to you, Document, Table, Draft to send, Short summary, Reminder list) and How often (As needed, Daily, Weekly, Monthly, Whenever new data arrives).
  • Upload material in the team chat once you hand the task over. Your assigned AI will ask for what it needs.
  • Press Hand it over. Usually UpServe creates a new AI team and passes on what you wrote. What you first wrote becomes the first task, so you don’t type it again.
  • With the Bookings & schedules category, a “Work screen · start with a ready-made screen” option appears below. If it is on when you send, UpServe adds the ready-made work to My work instead of creating a new team, and sends what you wrote as that work’s first request. Picking the “Gather bookings from everywhere” or “Find double bookings” example turns it on for you, and you can turn it off or on again. If you already added that work, you see Open work.

Even if you pick Daily, Weekly or Monthly, it does the work once first. After you see the result, you decide with your assigned AI whether to repeat it. A newly created team can’t take recurring scheduled runs until it is specialized. See the limit on scheduled runs.

You can write it down before you sign up. What you wrote stays in this browser, and when you log in to send it, it carries over as written.

2. Material and connections

Your assigned AI asks only for what the first task needs. If material is needed, upload it in the team chat. If an outside service has to be connected, a connection prompt appears. On the task board this shows up as Question or Connection needed.

3. Check the first result

While the team is being created you see “Creating your AI team and passing on your task”. When it is done, you usually go straight to that team’s work screen with no extra message. In some cases a short notice appears first. If the task is handled with the current setup you see “Your AI team is starting right away. It handles this work with its current setup.” If the task would do better with a ready-made work screen attached you see “Your AI team starts working right away. A work screen for this task is still in preparation.” Either way, the work starts right away. Under the result, use Looks good to accept it, or Needs changes to say what to fix. See The work screen and tasks for details.

Right after you accept your first result, you may see an optional question about how this work went before you handed it over. You can skip it. Your answers are used only to improve the service and check its impact.

4. Keep handing over the same work

Tell the next job to the same work. Its chat, memory, files and connections carry over. As accepted results build up, your AI team gets tuned to your work (Your AI team).

You don’t need a matching work first

If no ready-made work fits, there is no need to wait. Your AI team builds a basic working setup from what UpServe can do today and starts right away. In most cases you don’t choose between a ready-made work and a new team. The one exception is the “start with a ready-made screen” option under Bookings & schedules described above.

When no work screen fits the task yet, you may see “A work screen for this task is still in preparation.” That notice is not a promise about when a screen will arrive, and the task continues in the chat. What is possible today is described in What works today and what doesn’t yet.

Start from Browse work

Browse work collects examples and quick starts. You find it under Work in the top menu, next to My work.

  • Open one to see What it does, What you need, and Try asking like this.
  • Add to my work puts it in your list. Add to my work and hand it over adds it and sends your first request at once.
  • Scheduled runs in a piece of work are added turned off. Each run uses SU once you turn it on (Scheduled runs).
  • For example, there is a guesthouse operations service today. What appears can change over time.

Cost

Running a task uses SU as usual. Adding work or connecting a work screen does not run anything by itself. See SU and billing.

If something goes wrong

  • If preparing your team takes long, press Check progress. If it says preparation has not finished, you can Try again or Cancel.
  • If the work screen doesn’t show in the mobile app, update the app or open UpServe on the web (upserve.app).

Advanced

You don’t need this section for everyday use. Read it only if you want to know how addresses and pre-login drafts work.

  • Addresses: new requests are written on /home, My work and Browse work are on /work, and the pre-login entry is /work/start.
  • What you write before logging in is saved only in this browser, not on the server. If the browser blocks saving, you may need to retype it after logging in. If it changed by the time you send it, it goes out as a new request.
  • The mobile app opens the same web work screen. There is no native chat screen yet.
  • The server decides which accounts get the work screen, and web and mobile use the same value.
